An AI assistant on LINE and the web for association staff
Association staff answer questions from members, trainees and exam takers all day. The Phak AI assistant on LINE and the web lets staff ask from a phone or computer and get answers from the association's documents that cite their sources. Documents sync from the Drive, M365 and email you already use. When the assistant isn't sure, it doesn't answer and hands the question to a person who knows.
A trainee asks: if they miss one class, can they still sit this round of the exam?
Clause 6 of the current training rules requires full attendance to sit the exam. A make-up class can be requested.
Source: Training and exam rules, clause 6Checked. Reply to the trainee with this and attach the request form.
Where answering questions eats into association staff time
The same training and exam questions
Trainees and exam takers ask the same things: eligibility to sit the exam, exam dates and required documents.
Documents live in many places
Rules are in Drive, forms in M365, clarifications in email. Staff open several places before they can answer.
New staff have to ask seniors
Newcomers don't yet know which document covers what, so questions pile up on senior staff.
Answers differ from person to person
Each staff member remembers a different version of the rules, so members may get inconsistent answers.
How the AI assistant on LINE works for staff
Sync the documents you already use
Connect the association's Google Drive, Microsoft 365 and email. New documents flow into the library automatically.
Set group permissions
Training, membership and policy teams each see the documents that match their role.
Ask on LINE or the web
Staff ask the LINE assistant in a team group or on the web. It answers from documents and cites its sources, and can carry the association's own name.
Not sure, hand it to a person
If the documents aren't enough, the assistant says it isn't sure and suggests asking someone who knows. Staff check before replying to members.
Questions staff can ask the assistant
What we measure with the staff assistant
Measured with the association's own numbers, before and after. To set the metrics together, talk to the Phak AI team.
- Share of questions staff answer without asking an expert
- Time spent finding documents before answering a question
- Number of questions handed off for lack of documents, which shows what the library is missing
What the staff assistant covers
What Phak AI does
- Phak AI helps staff answer questions from the association's documents, with sources
- Phak AI helps bring documents from Drive, M365 and email into one library
- Phak AI helps new staff find answers on their own from a phone
What it does not do
- It does not answer members or trainees directly. It works for staff
- It is not an exam, registration or payment system
- It does not approve requests on behalf of staff
Frequently asked questions
Can staff use it through their own LINE?
Staff use it through a team LINE group or the Phak AI web app. Every question is logged, and each person sees documents based on their group's permissions. See the security page for more.
Can members or trainees ask it directly?
The assistant is built for staff. If the association wants members to ask it, that runs through role-based permissions, limited to documents and answers the association has approved.
What happens if the assistant gets something wrong?
Every answer cites its sources, so staff can check before replying to a member. If the assistant isn't sure, it doesn't answer and suggests asking someone who knows.
