Professional / trade associations
A governed foundation for AI at professional and trade associations
Associations hold member company data and explain rules to members, so their use of AI has to be auditable. Phak AI sets the foundation from day one: a dedicated server for each organization, group permissions, a log of every question, and answers that cite their sources. We also help the association set its own AI usage policy, instead of staff each using personal AI tools.
The old way
- Staff use different personal AI tools
- Member data gets pasted into outside chats
- Answers don't say which rule they rely on
With Phak AI
- AI runs on the association's own server
- Group permissions and every question logged
- Every answer cites its source document
Why associations need AI governance before scaling up
Many staff already use personal AI tools to draft letters or summarize documents. The risk is that member company data ends up in outside tools, and the answers don't rely on the rules the association has in force.
Members trust the association on rules, so its use of AI should be able to show who asked what, which data they could see, and which document an answer came from. This foundation means every AI Application added later, such as the rules library, follows the same standard.
What a governed AI foundation includes
A dedicated server for the association
Data lives on the association's own server and is not mixed with other organizations.
Group permissions
Training, membership, policy teams and working groups see only the data relevant to their role.
Every question logged
Review who asked what, when, and which document the answer came from.
Personal data masked at import
PDFs are imported with personal data masked, helping your use stay aligned with PDPA.
No model training on your data
The association's documents and questions are not used to train AI models.
Usage by team
The Executive Dashboard shows how much each team uses the assistant, to guide where to expand next.
Set your AI usage policy together
The association writes the policy. Phak AI configures the system to match it.
Agree which data can be used
Start with public documents, then decide when internal documents and company-level comments enter the library.
Set permissions and answer owners
Define which group sees which data, and who approves answers on each topic.
Start with staff
Use it with staff first, review the usage log, then open it to members through the permission system when the association chooses.
What we track on AI governance
Reviewed with the association at regular points during use. Talk to the Phak AI team to choose the right ones.
- Share of staff who move from personal AI tools to the association's system
- Number of answers that cite a source document
- Results of usage log and permission reviews on the agreed schedule
What the AI foundation covers
What Phak AI does
- Phak AI helps set up a dedicated server, group permissions and usage logs
- Phak AI helps configure the system to match the association's AI usage policy
What it does not do
- It does not certify the association against any security standard
- It does not give legal advice on PDPA in place of the association's advisers
- It does not decide for the association which data can be disclosed
Frequently asked questions
How is this different from staff using general AI tools?
Phak AI answers from the association's documents and cites its sources. It runs on the association's own server, with group permissions and every question logged. Your data is not used to train AI models.
Do we need an AI policy before we start?
It doesn't have to be finished first. You can start with public documents and staff, and build the policy alongside. But have a policy in place before company-level comments go into the system.
Where can I read more about security?
See the security page, which covers the dedicated server, role-based permissions, usage logs and personal data masking.
