Cold Chain / Truck Shops
A per-vehicle status board for repair shops and truck body plants
The Phak AI per-vehicle status board tracks the progress of every truck in the body plant or the repair shop, including insurance claims, on one board. When a customer calls or messages to ask if the truck is ready, the admin opens the board and answers right away. No need to walk over and ask a technician or supervisor each time.
The old way
- Customer calls, admin walks over to ask
- Status lives in the supervisor's head
- Claims are tracked across many chat groups
With Phak AI
- Admin opens the vehicle card and answers
- Every truck has a card with its latest step
- Each claim has its own card showing the hold-up
Why repair shops and body plants take status calls all day
Customers want to know if the truck is ready
The truck is how customers earn a living. Every day it sits in the shop, they call more.
Status sits with the supervisor
The admin who answers the phone does not know. They have to ask a technician or call the supervisor first.
Claims have many steps
Waiting for insurer approval, repair, inspection, and handover. Each step lives in a different chat.
Answers do not match
When each person remembers a different status, customers get mixed answers and lose trust.
How the per-vehicle status board works
It uses the Phak AI work board, with one card per vehicle and per claim, starting with the trucks in work today. Talk to the Phak AI team.
Create a card per vehicle or claim
One card for each truck or each claim, with the customer, job type, and date received.
The shop floor updates the step
Move the card through the steps you really use, such as received, in progress, QC checklist, and ready for handover.
Admins answer from the board
When a customer calls or messages, the admin opens that truck's card and answers right away.
LINE assistant answers status questions
The LINE assistant helps answer status questions from the board, with staff taking over when it is not sure.
Questions admins and the assistant can answer
What we measure with a vehicle status board
Tracked with your own numbers, before and after.
- Number of status calls
- Time to first response
- Customer complaints about status updates
Clear scope
What Phak AI does
- Phak AI keeps per-vehicle and per-claim status on one board
- Phak AI helps admins answer customers about trucks in the plant or shop
- Phak AI attaches the QC checklist to each vehicle's job
What it does not do
- It is not GPS tracking hardware (it links to the GPS system you already use through MCP)
- It does not assess damage from photos
- It is not an ERP, accounting, or insurance billing system
Frequently asked questions
Can it tell customers where a truck is from GPS?
Yes. The board answers repair and body build status, and when linked to the GPS data your organization uses through the MCP standard, it can also say where a truck is on the road.
Does it work for insurance claims?
Yes. Each claim gets its own card with steps such as waiting for approval, in repair, and ready for handover. Admins can say what a claim is waiting on.
What do we need to start?
A list of trucks currently in work and the steps your team really uses. The Phak AI team sets up the board to match those steps during setup.
